Automation actions

What each action does, what it needs, and how Wait for delays work.

Actions are what an automation does. They sit in Action blocks and run top to bottom. Add one with Add action and drag to reorder. Each action type can be used once per automation, except Wait for.

Note: Up to 15 actions per automation.

Create the ShopQuote from the request

Quote request trigger only. Builds a Shopify draft order from the request's items, in the currency the customer shopped in, with their email and name. Then creates a live ShopQuote from it and marks the request Accepted. Every action after this one works on the new ShopQuote.

Expiration

None, unless you add Set / extend the expiration after it.

Custom items

Not included. Only products from your catalogue are carried over. Accept requests with custom items by hand.

Already accepted

If a ShopQuote already exists for the request, it is reused rather than duplicated.

Plan limit

Fails if you are at your plan's limit of active ShopQuotes.

Send an email to the customer

Pick a Template type and Template. Before a ShopQuote exists you get Quote request templates. Once one exists, from a ShopQuote trigger or a Create action above, you get ShopQuotes templates. The email goes from your primary sender with your branding.

Note: Needs a connected sender and a plan with email. The quote email counts towards your plan's monthly email allowance.

Send an email to staff

Pick a template. With the Staff notification type, the email goes to the recipients on that template, and you can edit that list right here. With any other type, enter a Send to address. Staff emails always go from [email protected] and do not count towards your email allowance.

Apply a discount

Needs a ShopQuote. Choose percentage (1 to 100) or fixed amount and a value. It is applied to the ShopQuote's draft order as a discount named Automation discount.

Set / extend the expiration

Needs a ShopQuote. Two modes.

Extend by

Adds the days to the current expiration. If there is none, counts from now.

Set to

Expiration becomes the given number of days from now.

Tag the ShopQuote

Needs a ShopQuote. Adds a tag to it. The tag shows in the ShopQuote's Tags and can be checked by the Quote tag condition, which is how you stop a repeating automation from acting twice.

Add an internal note

Writes a private note for your team. Before a ShopQuote exists it goes on the request. After, it goes on the ShopQuote. It replaces any note already there.

Tag the customer in Shopify

ShopQuote triggers only. Adds a tag to the customer record in Shopify, matched by email. Fails if no Shopify customer has that email.

Wait for

Pauses the run for a number of Minutes, Hours or Days, up to 90 days, then continues with the next action. Use it for follow ups: create and email the quote, wait 3 days, email again.

Must be followed by an action

A wait at the end does nothing, so the builder will not save it.

Skips if the quote is done

When the wait ends, if the ShopQuote is Completed or Deactivated the remaining actions are skipped. Expired quotes continue, so win back flows work.

Cancelled by changes

Editing, deactivating or deleting the automation cancels runs that are waiting. You are asked to confirm.

Order rules

The builder only offers actions that can run at that point. On a quote request trigger, put Create the ShopQuote first so discount, expiration, tag and note have something to act on. On A ShopQuote is accepted (Completed), only the email actions are offered.
