Automations Overview

Run actions automatically when a quote request comes in or a ShopQuote changes.

An automation watches for something to happen, checks a few conditions, and then does the work for you: creates the ShopQuote, emails the customer, applies a discount, tags, notes, waits, and more. This guide takes you through building one, in order, under Automations in the ShopQuotes app.

Note: Automations are available on paid plans that include them. On other plans the page is read only with an Upgrade button.

How it works

Every automation has the same three parts, read top to bottom.

Trigger

The event that starts it. A customer requests a quote, a ShopQuote is viewed, a ShopQuote expires, and so on.

Conditions

Optional checks that narrow when it runs. Request total over 5,000. Email domain contains a company. A product tag is present. If they are not met, the run stops.

Actions

What happens, in order. Create the ShopQuote, send an email, apply a discount, wait two days, send another email.

Each time the trigger fires, ShopQuotes runs the automation once for that event and records it in the automation's activity log.


Step 1: Start from a template

  1. Go to Automations and click Create automation.

  2. Pick a template, or Start from blank.

The templates are working automations you can adjust.

Step 2: Set the trigger

In the Trigger card, choose the event. There are two kinds: one for quote requests coming in, seven for what happens to a ShopQuote after you build it. The trigger decides which conditions and actions make sense, so pick it first. Every trigger and when it fires is in Automation triggers.

Step 3: Add conditions

Optional. Click Add condition to add a Condition block, then add one or more checks. Set Match to All so every check must pass, or Any so one is enough. Skip this step if the automation should run every time. All the fields and operators are in Automation conditions.

Step 4: Add actions

In the Action block, click Add action and pick what should happen. Add more and drag to reorder. Actions run top to bottom. Some depend on earlier ones: you can only discount a ShopQuote after one exists, so on a quote request trigger, Create the ShopQuote from the request comes first.

Use Wait for between actions to add a delay of minutes, hours or days. What each action does and needs is in Automation actions.

Step 5: Name it and switch it on

  1. Enter an Automation name.

  2. Set Status to Active.

  3. Click Save.

The Summary card reads the automation back to you in one line. Check it says what you meant.

Step 6: Check it ran

Trigger the event once, for example submit a test quote request, then open the automation. The Activity log shows each run with its time and status. The list page shows Total runs and Last run for every automation. Statuses and fixes are in Monitor and troubleshoot automations.

Tip: Anything that sends email needs a connected sender first. Set that up under Email notifications before you activate an automation that emails customers.
