Sign in with Microsoft to send quotes from your Microsoft 365 or Outlook.com address. Sent emails show up in that account's Sent Items, and replies land in its inbox.
Note: Available on paid plans. Works with Microsoft 365 work accounts and personal Outlook.com, Hotmail and Live accounts.
Which account to use
Use an address your business owns, such as quotes@ or sales@, not an employee's personal mailbox. If that person leaves and the account is closed, your quote emails stop.
You can only sign in as a real user mailbox. A shared mailbox has no login of its own, so it cannot be connected. If you need to send from a shared address, give it a licence and a password so it becomes a normal mailbox, or use SMTP with a relay instead.
Connect
Go to Email notifications > Email providers.
Click Sign in with Microsoft.
Sign in to the account to send from.
Click Accept. ShopQuotes asks to send mail as you and to read your basic profile. It cannot read your inbox.
You return to ShopQuotes with the account listed under Manage senders.
Note: If this is your first sender, it becomes your primary sender automatically and customer emails go out from it. If you already had one, open the new sender's menu and click Make primary to switch.
Sender name
The name customers see depends on the type of account.
Microsoft 365 work or school | Set it under Change settings. Usually your store name. |
Outlook.com, Hotmail, Live | Always the name on your Microsoft profile. The field is disabled. To use a store name, connect a Microsoft 365 account. |
Needs admin approval
Some organisations only let admins approve new apps. If Microsoft shows Need admin approval, ask your Microsoft 365 admin to grant ShopQuotes access for the organisation, then sign in again.
They can do this from the approval request Microsoft sends them, or in the Microsoft Entra admin center under Enterprise applications > Admin consent requests.
Sending limits
Microsoft limits how much mail an account can send in a day. Quotes count towards it along with normal email.

Plenty for quotes. For bulk sending use SendGrid or Resend.
If something goes wrong
What you see, and what to do.
Could not connect that account | You cancelled on Microsoft's screen, or the sign in timed out. Click Sign in with Microsoft again and click Accept. |

Sender shows Invalid | Microsoft no longer accepts our access. Usually the password was reset with sign out everywhere, the account was disabled, or an admin removed the app. Click Sign in with Microsoft and choose the same account to reconnect. |
From name is greyed out | This is a personal account. See Sender name above. |
Customers do not receive the email | Check Sent Items in the connected account. If the email is there, ask the customer to check junk. If it is not, send a test from Send test email to see the error. |
Disconnect
Open the sender's menu and click Disconnect. ShopQuotes deletes its access token and can no longer send from the account. If this was your primary sender, the most recently connected sender takes over. To also remove ShopQuotes from the list of apps in your Microsoft account, open your Microsoft account's app permissions and remove it there.
