ShopQuotes emails your customers about their quotes and quote requests, and alerts your team when a new request comes in. This guide takes you through setting that up, in order, under Email notifications in the ShopQuotes app.
Note: Email notifications are available on paid plans.
What ShopQuotes sends
Three types of email.
ShopQuotes | To your customer, about a quote. Sent when you email a quote, when an automation sends one, or when the customer asks for the PIN to open it. |
Quote request | To your customer, about a quote request. Sent when they submit the request, or by an automation, before any quote exists. |
Staff notification | To your team. Sent when a customer submits a quote request. |
Customer emails are sent from your own address, so they land in the inbox and replies come back to you. Staff notifications are sent from [email protected].
Everything you set up here is also what Automations use. When an automation sends an email, it goes out from the sender, with the branding, using one of the templates you configure below.
Step 1: Connect your email provider
Customer emails go out from an address you own. Connect it first. Nothing can be emailed to a customer until this is done.
Go to Email notifications > Email providers.
Under Add a sender, pick your email service and follow its guide:
Connect Google: Gmail or Google Workspace
Connect Microsoft: Microsoft 365 or Outlook.com
Connect Resend: send from your domain through Resend
Connect SendGrid: send from your domain through SendGrid
Connect SMTP: any other mailbox or relay
Check the address appears under Manage senders with a Primary badge.
Not sure which to pick? If your business email is on Google or Microsoft, sign in with that. Otherwise use SMTP with the details from your email provider. You cannot send from an @shopquotes.com address.
Note: The first address you connect becomes your primary sender automatically. That is the one customer emails go out from. If you connect more than one, switch by opening a sender's menu and clicking Make primary.
Managing senders
Each sender under Manage senders has a menu.
Make primary | Switch customer emails to this address. |
Change settings | Update the From name, API key or SMTP details. |
Disconnect | Remove it. If it was the primary, the most recently connected sender takes over. |
If a sender shows Invalid, its login stopped working and emails stop until you fix it. For SMTP, Resend and SendGrid, update the password or key under Change settings. For Google and Microsoft, sign in again with the same account.
Step 2: Add your branding
Put your logo, colors and footer on every customer email.
Go to Email notifications > Email branding.
Open Header and upload your logo.
Open Body and set the button and link colors.
Open Footer and write your footer text.
Click Save.

Step 3: Review your email templates
Templates hold the words. You start with a default for each customer email type, ShopQuotes and Quote request, and can add as many more as you like.
Go to Email notifications > Email templates.
Open Quote email and read it as your customer would.
Adjust the subject, heading and body to sound like your store, then save.
Do the same for Quote request received.

Step 4: Choose who gets staff notifications
Decide who on your team hears about new quote requests.
Go to Email notifications > Staff notifications.
Open New quote request.
Add the email addresses under Recipients and save.
Step 5: Send a test
Check the whole setup end to end.
Go to Email notifications > Email providers and scroll to Send test email.
Pick your sender and a template.
Enter your own email address and click Send test email.
Open the email. Check it arrived, looks right, and comes from the right name and address.
You can send 5 test emails a day.
Tip: If the test lands in spam, ask your email provider to check SPF and DKIM for your domain. Once it looks right, you are done. Everything you send from ShopQuotes and every automation uses this setup from now on.
